Process Improvement: 4 Steps of Business Process Improvement

If you want to remain competitive in the market, continuously improving processes is essential, and this is precisely what Business Process Improvement can help with.

This practice is capable of reducing communication noise, lowering costs, and delivering a series of other benefits. Read on.

What is Business Process Improvement?

Business Process Improvement (BPI), also known as Process Improvement, is an operational practice of incremental repair of an organization’s processes.

With BPI, different methods are used to ensure that operations meet business and customer expectations.

Thus, to achieve the expected results, the practice seeks to continuously analyze, redesign, implement, and test processes.

This alignment happens end-to-end so that both customers and managers perceive business value.

Therefore, Business Process Improvement is an initiative for the continuous improvement of process performance, aligning them with organizational strategies and customer expectations.

To make this happen, various methodologies are combined, such as Six Sigma, Agile Management, and Lean Manufacturing.

These strategies help reduce inconsistencies, identify waste, or even improve process flexibility.

What are the objectives and benefits of BPI?

The main objectives of Business Process Improvement are:

  • Reduction of process completion time;
  • Improvement in the quality of results;
  • Identification of waste;
  • Decrease in inconsistencies;
  • Compliance with current regulations.

In other words, it is a way to analyze processes to identify what can be improved and generate more value.

Thus, it is possible to identify bottlenecks and imperfections, besides making processes more productive, efficient, and organized.

Therefore, Business Process Improvement can:

Reduce errors

By identifying points to be improved, it is possible to eliminate various errors that hinder process operations.

You can adjust data permissions, automate forms, prevent typing errors, and much more.

Automate production

With the automation of forms and other processes inherent to production, it is possible to better leverage integrations.

Thus, by reducing manual data transfers, teams gain more autonomy and time.

Streamline tasks

Consequently, it is possible to streamline tasks by removing redundant activities that do not add value to the business.

Additionally, conditional steps can be added to improve response times to service requests.

The 4 steps of Business Process Improvement

For Business Process Improvement to happen correctly, there are 4 basic steps, which should form a recurring cycle.

Thus, the premise is that everything that can be measured can be improved. Understand each step better:

Analyze

This is an essential step for proposing any improvement, as it is necessary to understand business needs.

In this sense, the organization needs to survey all processes or even retrieve previous standardizations.

Furthermore, this is the time to recognize important metrics and identify steps with the highest risk of bottlenecks in order to find ways to improve them.

Thus, it is necessary to reflect on why processes exist and for whom they deliver value.

Another point is to understand which products and services are being delivered, with what quality, and how goals and indicators stand.

Only then is it possible to prioritize the most strategic processes and pave the way for the next step.

Redesign

After the first phase, it is now time to understand how to improve the processes.

To do this, you must identify improvements in the analyzed processes and then adjust the workflow, as well as look for a BPM solution that truly meets your needs.

In this step, it is necessary to define this flow so that activities are carried out in an optimized way.

Additionally, the responsibility of each professional involved must be defined before redesigning the process.

This will make it possible to identify what can be improved before actually implementing the changes.

By doing it this way, there is greater certainty in understanding how processes will occur and deliver results without compromising activity operations.

Implement

This is the point where Business Process Improvement usually encounters some internal challenges to overcome.

This is because insecurity or resistance to the implementation of a new process model is very common.

Therefore, all stakeholders must be informed about the change, taking into account the possibility of training.

It becomes necessary in this step to monitor items closely and continue collecting data on key metrics.

Anticipation is an important strategy here, especially to prepare the environment and people for changes.

Training and support should be a priority before and during implementation, known as assisted operation.

This aims to minimize the impacts of implemented changes on employees’ daily routines.

Therefore, indicators must be tracked and project progress monitored so that improvement is truly continuous. In other words, ensuring that implementation aligns with expectations and proceeds healthily.

Test

Finally, for Business Process Improvement to be effective, proposals must also be tested.

Whether those already put into practice or those not yet implemented, you need to verify how they affect items in real-time.

To do this, updates or integrations must be executed whenever necessary so as not to compromise process health.

This practice ensures that changes effectively yield results and also indicates how activities can be further improved.

The challenges of process improvement

Of course, Business Process Improvement also brings some challenges to organizations, such as some we have already mentioned.

In addition to team resistance—which can be bypassed by building an efficient organizational culture and providing solid training—there is the challenge of measurement.

Many companies still fail to implement quality BPI because they do not know how to identify process anomalies.

Additionally, there may be a lack of clarity regarding responsibilities and assignments for each process, resulting in delays and delivery inconsistencies.

Another point is the lack of assertive communication connecting all ends of the business, which ultimately hinders standardization and task control.

However, BPI can help solve all these problems if viewed as a continuous practice requiring time, attention, and collaboration.

For real improvement to happen, all professionals involved must be aligned with strategic objectives and know the best path to follow together.
