The WILL system (Automated generation of legal contracts) is available on Souza Cruz’s intranet, on the Legal Department page, allowing users to access information through any workstation connected to the company network.
Based on the GED (Electronic Document Management) concept, through the WILL System it is possible to create documents (contracts, addendums, powers of attorney, etc.), and these documents go through a specific approval workflow until their final resolution and printing.
The legal department creates drafts (document templates) which are used by all contract creators in the corporation. All documents are stored electronically.
The objective is to present an integrated solution for the drafting and approval of documents. Processes were developed for the creation of standard documents (templates) previously defined by the legal area, which will later be used by the end user. The user creates their document and submits it to the approval workflow, which will be evaluated by authorized personnel until final approval and printing.
The System brought several benefits to the company such as:
- Streamlining contract approval;
- Decentralizing document maintenance;
- Greater agility in contract drafting;
- Electronic control of 100% of documents and attachments;
- Enabling the management of the entire contract lifecycle.
Teclógica’s Vision
Vilson Camargo do Rosário, New Business Director at Teclógica, comments on his participation in the Project.
Watch the video or read the report below:
1) How was it participating in the project? Were your expectations for this work met from the moment you started it?
A: I participated in the second stage of the project, where we restructured the technology involved, making the system more robust and reliable, improving performance, and updating the system architecture. Our expectations were fully met, as we managed to deliver the system on time, ensuring customer satisfaction. Some changes were made to the system such as updating the application server, database server, workstation (client), system architecture, and link guarantee.
2) How was the relationship with the client? Did this contact help in achieving the objectives outlined for the project?
A: Throughout the project cycle, we had great participation from the client, who was always available and contributing suggestions to improve the system, which greatly helped us achieve the objectives defined for the project.
3) How was it managing the system for so many years?
A: After delivering the project, we carried out the necessary follow-up and subsequently the handover to support, which became responsible for addressing user questions and needs. System management became very easy, as the knowledge gathered during system development allowed for assertive and more agile decision-making. Direct contact with key users was also a facilitator for conducting services transparently and with the quality expected by the client.
